Refund Policy

Our commitment to fair and transparent billing

1. Overview

At Chatber, operated by Evertics Infotech, we want you to be satisfied with our Service. This Refund Policy outlines the circumstances under which refunds may be issued for subscription payments made through our platform at chatber.com.

2. Subscription Payments

All subscription payments are processed securely through Razorpay. Chatber offers monthly and yearly billing cycles. Payments are charged at the beginning of each billing period.

3. Refund Eligibility

3.1 Eligible for Refund

You may be eligible for a refund in the following situations:

  • Duplicate Payment: If you were charged more than once for the same billing period due to a technical error, we will refund the duplicate amount in full.
  • Service Unavailability: If the Chatber platform experiences a prolonged outage (more than 72 continuous hours) due to issues on our end that prevents you from using the Service, you may request a prorated refund for the affected period.
  • Incorrect Plan Charge: If you were charged for a plan different from what you selected, we will refund the difference or the full amount as applicable.
  • First-Time Subscription (Within 7 Days): If you are a first-time subscriber and are not satisfied with the Service, you may request a full refund within 7 days of your initial subscription purchase, provided you have not exceeded 100 API calls or sent more than 50 messages through the platform.

3.2 Not Eligible for Refund

Refunds will not be issued in the following cases:

  • Change of Mind: If you simply decide you no longer need the Service after the 7-day first-time window has passed.
  • Partial Usage: If you have used the Service for part of a billing period and wish to cancel. You will retain access until the end of your current billing period, but no prorated refund will be provided.
  • Plan Downgrade: If you downgrade from a higher plan to a lower plan mid-cycle. The lower plan will take effect at the next billing cycle.
  • Account Suspension or Termination: If your account was suspended or terminated due to violation of our Terms and Conditions or Acceptable Use Policy.
  • Third-Party Service Issues: If the Service is affected by issues with Meta's WhatsApp Business API, Razorpay, or other third-party providers beyond our control.
  • Failure to Cancel: If you forgot to cancel your subscription before auto-renewal.

4. How to Request a Refund

To request a refund, please follow these steps:

  • Step 1: Log into your Chatber account and go to Support & Help > New Ticket.
  • Step 2: Select "Billing & Refund" as the ticket category.
  • Step 3: Provide your account email, the transaction date, the amount charged, and a detailed reason for the refund request.
  • Step 4: Alternatively, email us directly at support@chatber.com with the subject line "Refund Request — [Your Account Email]".

5. Refund Processing

5.1 Review Period

We will review your refund request within 5 business days of receiving it. We may contact you for additional information if needed.

5.2 Approval and Processing

If your refund is approved:

  • The refund will be processed through Razorpay to the original payment method.
  • Refunds typically take 5-10 business days to reflect in your account, depending on your bank or payment provider.
  • You will receive an email confirmation once the refund has been initiated.

5.3 Denial

If your refund request is denied, we will provide a clear explanation of the reason. You may escalate the matter by replying to the denial email or contacting us at support@chatber.com.

6. Subscription Cancellation

When you cancel your subscription:

  • Your subscription will remain active until the end of your current billing period.
  • You will continue to have full access to all features of your plan until expiry.
  • No automatic renewal will occur after the current period ends.
  • Your data will be retained for 30 days after subscription expiry, after which it may be permanently deleted.

Important: Cancellation does not automatically trigger a refund. If you believe you are eligible for a refund, please submit a separate refund request as described in Section 4 above.

7. Early Renewal

If you renew your subscription before the current period expires, the new subscription period starts from the expiry date of your current subscription (not from the date of renewal). This means you do not lose any remaining days. Early renewals are non-refundable.

8. Yearly Subscriptions

Yearly subscriptions are offered at a 13% discount compared to monthly billing. Due to the discounted nature of yearly plans:

  • The 7-day first-time refund window still applies for new subscribers.
  • After the 7-day window, yearly subscriptions are non-refundable.
  • If you wish to cancel a yearly subscription mid-term, you may do so, but no prorated refund will be issued. Your access will continue until the end of the yearly period.

9. Currency and Taxes

All refunds are processed in Indian Rupees (INR), regardless of the currency used for the original payment. Any currency conversion fees charged by your bank are not covered by us. Applicable taxes (GST) paid on the original transaction will be refunded along with the subscription amount.
